CRM 2018 R2 – Improvements to support GDPR changes

The Information Commissioner in the UK has issued updated guidance on getting ready to comply with GDPR (May 2018).   When combined with the data privacy this means all our systems will need an option to let the end customer (i.e. customer of businesses running Sage One, Sage live etc.) receive any and all information known about them “in a structured, commonly used and machine-readable format”.  Examples provided are to get purchase or activity history so that this can be used to make purchase decisions in a different system.

Following Business Analysis we have established that all must requirements that are applicable to software for GDPR are already achievable within existing software via imports, exports and manual editing.

However to support GDPR we will introduce two new reports which will:
1. REQ5.001 - Identify personal data entered into contact record fields so that customers can then manually take action to "forget" the individual within product.

2. REQ5.003 - Data retention periods. Identify all customers & suppliers that our customers have not traded with in 6 or more years so that customers can then manually delete records accordingly.

3. Assess SLS (Sage licence service) and Google Analytics to ensure both are GDPR compliant

Ideas hub enhancements: Licence expiry warning fix

Sage 200 manages entitlement via Sage Licence Service (SLS)
Every user is being warned every day for 60 days before the license is due to expire. The license cannot be renewed until 30 days before it expires as this is when a BP will invoice the customer. This message appears every time the user logs in. This causes confusion and annoyance  within the customers own site (with their IT teams) and calls to Business Partners and Sage Support. The licence warning is in the top 10 items on the Ideas Hub and is a frequent complaint from customers and Business Partners.

Changed the warning message to display at 30 days from license expiry, so that users are only warned within the period the customer can act on it.

Ideas hub enhancements: Hiding nominal and cashbook

The ability to hide a nominal and cash book account from lists and reports is the number one request on the Sage 200 ideas hub. Currently customer have no way of hiding accounts that are no longer used from list screens and reporting. Hiding nominal and cash book records was also voted as the number one improvement in the recent in product survey with 45% of respondents stating this enhancement would be the most valuable to them.

Ideas hub enhancements: Automatically refresh lists

Sage 200 is a very list based product. Today the lists within the product need to be refreshed manually so new data that is entered does not appear in the lists until the data is refreshed

In the recent in product survey 45% of respondents stating this enhancement would be the most valuable to them. Refresh lists is number 2 on the ideas hub.

Bug Blitz + API/SDK Improvements

  • Making Tax Digital

On 13 July 2017, HM Treasury and HM Revenue & Customs published its second Finance Bill of 2017, which includes changes to the proposed Making Tax Digital initiative.

The changes announced on 13 July

The Government said it believes that introducing a new digital tax system is still the right direction to move in. However, it has made amendments to the businesses this impacts and the timescales for change. The amendments to Making Tax Digital now mean:

  • Only VAT registered businesses will need to keep digital records and only for VAT purposes
  • They will only need to do so from April 2019
  • Businesses will not be asked to keep digital records or update HMRC quarterly for other taxes until at least April 2020 (the original dates had implementation from April 2019)

What this means for businesses

The changes mean different things for different business.

Businesses that are VAT registered:

  • Will need to move to digital record keeping (i.e. use software to record all their VAT invoices and receipts).
  • That do not yet use software to record their VAT information (invoiced from customers and suppliers) need to start planning for MTD. The new implementation date is April 2019

Businesses that are not VAT registered:

  • Digital record keeping is optional, however these business owners can gain updated income tax estimates whenever they want, which will help with cash flow and forecasting
